The short version

We collect your details when you send us an enquiry, and we use them to answer that enquiry. We do not send marketing, we do not sell or rent your details to anyone, and we do not add you to a mailing list. If you want us to delete what we hold, ask us and we will.

The rest of this page sets out the same thing in the detail the law requires.

1. Who we are

Hospitality and Events is a trading name of Hive Technology and Digital Consultancy Services Limited, a company registered in England and Wales, company number 09532894, whose registered office is at 92 Minster Court, Liverpool, England, L7 3QD.

We are the data controller for the personal information described on this page. That means we decide what is collected and what happens to it, and we are responsible for looking after it.

To contact us about anything on this page, email [email protected].

2. What we collect

When you send an enquiry

Our enquiry form asks for:

  • Your name and email address — required, because we cannot reply without them
  • Your company, phone number, the occasion you are asking about, guest numbers and anything else you tell us — optional

Alongside what you type, we record:

  • The date and time you submitted the form, and the IP address you submitted it from. This is our record that you gave consent, which the law requires us to be able to evidence.
  • Which page you enquired from, and, if you arrived from a link in a social media post or advertisement, which campaign that link belonged to. This tells us which fixtures people are interested in. It does not identify you.

When you email or call us

If you contact us directly rather than through the form, we keep the correspondence and any contact details in it, for the same purpose — answering you.

Automatically, when you visit the site

  • Server logs. Our hosting provider records the IP address, browser and pages requested for every visit. This is standard for any website and is used for security and diagnosing faults.
  • Spam prevention. Our enquiry form uses an automated check to tell people apart from software. It may process your IP address and limited technical information about your browser for that purpose alone.
  • Analytics. We may use Google Analytics to understand how the site is used in aggregate — which pages are read, how people arrive. See section 9 on cookies.

3. Why we use it, and our lawful basis

What we doWhyLawful basis
Reply to your enquiry by email or phone, with availability, formats and pricesIt is what you asked us to doConsent, and steps taken at your request before entering a contract
Keep a record of the enquiry and our correspondenceSo we can pick up where we left off, and because hospitality is often booked months aheadLegitimate interests — running the business and serving customers properly

Block spam and automated abuse of the formTo keep the form usableLegitimate interests — security
Understand which fixtures and pages generate interestTo decide what to offer and what to write aboutLegitimate interests — improving the service
Fulfil a booking, if you go on to book with usTo deliver what you have paid forPerformance of a contract

4. Marketing

We do not currently send marketing of any kind. There is no newsletter and no mailing list. When you send an enquiry we will contact you about that enquiry, and that is all.

Our form includes an optional, unticked box offering to let us contact you about other fixtures and availability in future. Ticking it is entirely your choice, it is never a condition of us answering you, and at present we are not acting on it.

If that changes, we will only contact people who ticked that box, every message will carry a one-click way to stop, and we will update this page to say so before we send anything.

5. Who we share it with

We do not sell, rent or trade your personal information. We do not share it for anyone else’s marketing.

We share it only with organisations that help us run the business, and only so far as they need it:

  • Our web hosting provider, which stores the website and its database, and carries the email our form sends.
  • Our customer relationship system, where enquiries are recorded so they are followed up properly.
  • Our spam-prevention provider, for the automated check described above.
  • Google Analytics, if you have accepted analytics cookies.
  • Venues, hospitality operators and suppliers — but only once you have made a booking, and only the details they need to admit you and look after you on the day, such as guest names and dietary requirements.
  • Our accountants and professional advisers, where they need it.

We will also disclose information if the law requires it, or to establish or defend legal claims.

6. Where your information is held

Our website and database are hosted in the United Kingdom or the European Economic Area.

Some of the providers above are based outside the UK, principally in the United States. Where information is transferred outside the UK, it is protected by the safeguards UK data protection law requires — an adequacy decision covering the destination, or standard contractual clauses with the provider. You can ask us for details of the safeguards that apply.

7. How long we keep it

  • Enquiries that do not lead to a booking: up to 24 months from your last contact with us, then deleted. Corporate hospitality is commonly planned a year or more ahead, so an enquiry stays useful for longer than in most businesses.
  • Bookings: seven years from the end of the relevant financial year, because tax law requires us to keep records of transactions.
  • Consent records: for as long as we hold the enquiry they relate to.
  • Server logs: as set by our hosting provider, typically a few months.

You can ask us to delete your details sooner, and unless we are legally required to keep them we will.

8. Your rights

Under UK data protection law you have the right to:

  • Be told what we hold about you, and get a copy of it
  • Have it corrected if it is wrong or incomplete
  • Have it deleted, where we have no overriding reason to keep it
  • Restrict or object to what we do with it, including anything we do on the basis of legitimate interests
  • Receive it in a portable form, or have it sent to another organisation
  • Withdraw consent at any time, which does not affect anything done before you withdrew it
  • Object to direct marketing at any time — an absolute right, with no balancing exercise

To exercise any of these, email [email protected]. We will respond within one month. There is no charge.

We do not make any decision about you by purely automated means, and we do not profile you.

9. Cookies

A cookie is a small file a website stores on your device.

  • Strictly necessary cookies make the site work — keeping you logged in if you are an administrator, and remembering that you have submitted the enquiry form. These do not require your consent.
  • Analytics cookies tell us how the site is used. These are only set if you accept them, and refusing them changes nothing about how the site works for you.

You can delete or block cookies through your browser settings. Blocking strictly necessary cookies may stop parts of the site working.

10. Children

This site is for corporate buyers and is not directed at children. We do not knowingly collect information about anyone under 18. If you believe we have, tell us and we will delete it.

11. Changes to this policy

If we change how we handle personal information we will update this page and change the date at the top. Where the change is significant — for example, if we started sending marketing — we will make that clear rather than leaving you to notice.

12. Complaints

If you are unhappy with how we have handled your information, please tell us first at [email protected] so we can put it right.

You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection, at any time:
